Running events
How to plan and run events, brief your team, sign events off with the after-action report, and handle roleplay experience, awards, IC reports and bounties.
For staffThe event planner lists your sim’s events on the website and the HUD. You plan an event and brief your team, players check in while it runs, and when it ends an award approver signs it off and the people who took part are paid. This guide also covers emote experience, award requests, IC reports and the bounty board.
Before your first event
- Set up event kinds on Server › Settings, Reports & awards tab. Under Event kinds, press Add an event kind, name it, and pick what Attendees get and what Helpers and organizers get. Both are award types from the same tab, each paying its influence as experience. This needs Settings - Edit (
sim_settings) or Awards - Edit (edit_awards). - Give your planners Storyteller - Plan events (
plan_events). Approvers need Awards - Edit or Admin. - To tie events to one place, add levels and rooms on Moderation › RP hot spots.
A kind switched off can’t be picked for new events, and a kind already used can’t be deleted.
The planner’s timing settings are on Server › Settings, Globals tab:
| Setting | What it does |
|---|---|
events-checkinBefore |
Minutes before the start that check-in opens |
events-checkinAfter |
Minutes after the end that check-in stays open |
events-maxHours |
The longest an event can run |
events-feedbackDays |
Days after the end that people can leave feedback |
events-minEmotes |
Emotes an attendee needs to be pre-ticked for an award |
Plan an event
Open Main Menu › Events and press Plan an event, or use Plan under Events on the HUD.
- Enter a Title, pick the Kind and write What’s it about, which everyone can read.
- Pick the Region. The list holds regions with RP hot spots levels, plus the one you’re on. Add a Place (optional) and Room (optional) to narrow it.
- Set Date (SLT), Starts (SLT) and Length, in Second Life time.
- Choose Who else can read the briefing. The default is everyone with
plan_events. - Press Put it on the planner.
You become its organizer. Organizers and Admins can Edit it while it’s planned or live, and Cancel the event before it ends.
Tip: The place decides what the after-action report counts. Only emotes made on that region, level or room during the event’s time show up. If your scene spills into the next room, leave the room empty.
Your team
- To add someone, find them under Add someone, choose Helper or Co-organizer under As, and press Add. People you add are confirmed straight away.
- Players can press I helped make this and say what they did. They wait as helpers until an organizer clicks their name to Confirm them.
Confirmed helpers can read the briefing and tick timeline beats.
The briefing and the timeline
The Briefing holds your team’s private notes: who plays what, the signals, what happens behind the scenes. Organizers, Admins, confirmed helpers, award approvers and anyone with the briefing permission can read it and Add to the briefing. Organizers can edit any note.
The timeline is the event’s schedule. Organizers press Add a beat and give it a Time (SLT), What happens, optional Details and Who sees it: Everyone, or Briefing only to keep it secret. During the event, organizers and confirmed helpers tick Happened as each beat takes place.
Going live
The event goes live at its start time on its own, and everyone on its region gets a HUD message to check in.
Players check in with I’m part of this event, on the website or the HUD. They must be on the event’s region with their HUD on, while check-in is open. Organizers and helpers start ticked for an award whether or not they check in.
End now finishes a live event early.
When it ends
The event moves to Waiting for approval. The organizer gets a HUD message, and if your sim posts to Discord, the award approvers are pinged.
- Organizers write a Summary of how it went. It goes on the after-action report and into the award history.
- People who took part can leave Feedback: one to five stars, What went well and What could be better. Organizers and approvers read every entry. Don’t show my name to the organizer hides the name from organizers only. Approvers can Hide an entry, which leaves it out of the rating.
Approve it
Open Main Menu › Awards › Event approvals, which is the Waiting for approval tab of Events, and open the event. The After-action report shows everyone on the event with when they checked in, their Emotes, the Characters they typed, their first and last emote, and how many people were usually Nearby.
- Check the ticks. Helpers, organizers and attendees with at least
events-minEmotesemotes start ticked. - Look for warnings such as Checked in, never emoted here and Not confirmed by the organizer.
- Under Roleplayed there but didn’t check in, tick anyone who took part without checking in. They’re added as attendees.
- Switch anyone between Attendee and Helper if needed.
- Add a Note for the organizer and press Approve, which shows how many attended and helped. Reject needs a note.
Approving files award reports, already accepted, under the kind’s award types. The award run pays them, with any weekly limits, and everyone approved who’s on the sim gets a HUD message. If the kind has no award type for attendees or helpers, those people get nothing.
Roleplay experience
If your sim rewards roleplay, the server pays experience for scenes on its own. A scene is two or more people emoting near each other, each with the other in range, and bigger groups get a small bonus. The log keeps each emote’s length, a fingerprint of the text, the place and who was nearby, never the text.
Set the rules on Server › Settings, Globals tab. A key that isn’t listed uses its built-in default, and Add a global adds it.
| Setting | What it does |
|---|---|
rp-session-idle-gap |
Seconds of quiet before a scene ends |
rp-session-min-duration |
The shortest scene that pays, in seconds |
rp-emote-min-gap |
Seconds between emotes that count, per player |
rp-hash-cooldown |
Seconds before the same emote counts again |
rp-session-max-emotes |
Most emotes that count per player per scene |
rp-session-exp-cap |
Most experience from one scene |
rp-daily-exp-cap |
Most roleplay experience per day |
rp-weekly-exp-cap |
Weekly cap. Past it, experience still comes at a much lower rate |
rp-currency-per-exp |
Money paid per point of experience, 0 for none |
Note: Emotes only count on the regions your sim has listed for roleplay. The website has no page for that list, so ask whoever runs your server.
Awards and IC reports
Players file XP reports from the HUD or Main Menu › Awards › Submit. Review them under Main Menu › Awards › View.
- While it’s New, a reviewer can correct the Award type.
- Add or remove people under Who was involved.
- Write a comment, then press Approve or Reject. The comment is posted first.
Approved awards are marked Accepted and paid on the next award run, then shown as Processed. If you switch on rewards-weeklyCap (set it to 1), each character’s experience from awards is capped each week by their experience bracket.
IC reports record what happened in character and pay nothing. Read them under Main Menu › Reports › View and comment as one of your characters with a group role. Report and award types are on the Reports & awards tab.
Bounties
Every bounty starts Illegal. When a player asks for it to be legal, an authority decides. Open Main Menu › Bounty board, Legal requests tab, open a bounty under Waiting for a decision, add a note and press Approve as legal or Refuse.
Authorities are staff with Bounty - Staff (bounty_admin) and members of the groups switched on under Authorities. Nobody decides their own bounty. Bounty staff can also Remove (staff) a bounty with a reason, and Reopen (staff) one. bounty-guide sets the text above the post form, and bounty-currency names what amounts are in.
Discord announcements
If you switch it on, the planner and the bounty board post to Discord. On Server › Discord, add a webhook for each channel on the Webhooks tab. Then, on the Groups tab, add the group if it’s missing and link the webhook to it:
events: each newly planned event. The page may mark this group as unused. Keep it: the planner posts there.admin: among other staff notices, events waiting for approval and the award reminder, mentioning the roles on therewardsping key (Ping keys tab).bounties: new, legal, collected, cancelled and expired bounties.
Nothing goes out for a group with no webhook.
What goes wrong
- “No event kinds are set up yet”: add one on the Reports & awards tab.
- Nobody paid after approval: the kind has no award type, or the award run hasn’t happened yet.
- No emotes on the report: the event’s region isn’t listed for roleplay, or its place is narrower than where people played.
